Fundraising and Event Coordinator: Part-Time

Description
Trinity Christian Academy are seeking a proactive and enthusiastic Fundraising & Event Coordinator to support ongoing fundraising events and constituent engagement for continued growth of TCA’s mission. The Fundraising & Event Coordinator will be responsible for planning, coordinating, and executing three main fundraising initiatives throughout the school year (Fall student fundraiser, Annual Appeal Mailing, Financial Aid fundraiser) In addition, the Fundraising and Event Coordinator will oversee incoming donor contributions and donor appreciation as well as lapsed donor communication at end of year.
Requirements
Responsibilities:
-Strategic Planning: Develop plans, including timelines, venues, suppliers, sponsorship packages, determine legal obligations, staffing, and budgets.
-Logistics Management: Coordinate logistical aspects such as
-Events: venue selection, catering, transportation, equipment, signage, audiovisuals, and guest accommodations.
-Communications: Coordinate mailing timelines, appropriate mailing method (USPS, e-mail etc...), and return mail processes.
-Vendor and Supplier Coordination: Source and manage relationships with suppliers, vendors, and contractors. Negotiate contracts and agreements to ensure favorable terms and cost-effectiveness to present for HOS approval.
-Budget Management: Develop and manage event/ project budgets, ensuring expenditures remain within budgetary guidelines. Track expenses, process invoices, and reconcile financial accounts post-event.
-Marketing and Promotion: Work with Marketing Coordinator to develop marketing strategies and promotional materials to attract attendees/engagement.
-On-Site Event Management: Oversee all aspects of event setup, execution, and breakdown. Manage staff, volunteers, and vendors during events to ensure smooth operation and resolve any issues that may arise.
-Donor and Attendee Relations: Serve as the primary point of contact for donors and attendees. Address inquiries, concerns, and special requests promptly and professionally.
-Post-Event Evaluation: Collaborate with TCA Admin team to conduct post-event evaluations to analyze the success of the event against goals and objectives. Gather feedback from attendees and stakeholders to improve future events.
Requirements:
-Proven experience as an event coordinator or similar role in event planning and management.
-Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
-Strong communication and interpersonal skills, capable of building relationships with donors, vendors, and stakeholders.
-Creative problem-solving abilities and attention to detail.
-Preferred experience with event management software and tools (e.g., Eventbrite, Cvent, etc.).
-Background or degree in Hospitality Management, Marketing, Business Administration, or relevant field preferred.
